QuickBooks can integrate inventory levels between eCommerce systems and QuickBooks Online. Inventory Sync features can also allow for updates made in QuickBooks Online to update stock levels on the eCommerce channel. You must be on a QuickBooks Plus subscription, subscribe to Inventory add-on or higher plans to use the Inventory features.
NOTE: Please be aware that once the Inventory Sync workflow is enabled, the next sync will override and update your stocks in your eCommerce with the stock levels that are set up in your QuickBooks Online.
How it works:
This works in the following process:
Turn on Inventory Sync feature, go to Accounting > Integration Transactions > Settings > Item Settings > toggle ON "Sync Inventory to XYZ channel"
QuickBooks will match products between the 2 systems based on SKU/Product Code
If the Inventory Sync option is ON, QuickBooks will check for stock levels changes and then carry this across to the eCommerce system.
When a sale is made in the eCommerce system, stock levels are processed in the following method:
QuickBooks pulls sales invoices from the eCommerce system and pushes them to your QuickBooks Online.
Your QuickBooks Online takes the sale along with the product data and re-calculates the stock levels internally.
QuickBooks detects the change in stock levels and passes these updates back to the eCommerce system.
Limitations:
Currently only support WooCommerce, BigCommerce and eBay.
QuickBooks cannot pull stock levels from one e-Commerce system and push this to another e-Commerce system. The reason for this restriction is that there is no stock level control if a sale is made.
QuickBooks cannot pull stock levels, cost price, and tax details from eCommerce systems and push this to QuickBooks Online products.
QuickBooks will only create products as inventoried in QuickBooks if the items from the eCommerce system are set to track/manage inventory. If the items are not set up to track inventory from eCommerce, regardless of the setting, we will only create the products in QuickBooks as non-inventoried.
If there were any manual changes done to stock levels within eCommerce systems, these will only be overwritten when QuickBooks receives new updates from Quickbooks Online.
The reason for this is that we do not get any notifications from the eCommerce system when stock is manually updated. We will only trigger stock sync on that product if an update is detected in QuickBooks Online.
